Managing Your Subscription and Payment Method

Two Billing Views

RealityMold has two billing surfaces and they serve different jobs.

Per client settings. Each client has its own settings page with full subscription controls: current plan and cadence, plan picker, billing details (invoice fields), invoice history, Auto Reload, and manual top up. Open it from the client card on the dashboard, then click the settings link inside that client.

Agency Billing page. A sidebar level Billing link gives you a flat table of every client you own with their plan, credit balance, renewal date, and a quick link into each client's settings. The Billing page shows up only when you have two or more clients. With one client, the link sends you straight to that client's settings.

For day to day work, use the per client settings page. For an at a glance read across an agency, use the Billing page.

What You See on the Per Client Settings Page

At the top of the page, the plan management section shows:

  • Current plan name and billing cadence (Monthly or Annual).
  • Renewal date (or "Ends on" date if you have a cancellation scheduled).
  • Live credit balance vs. the plan allocation, with a progress bar and a "View credit activity" link into the credit transaction history.

Below the status card is the "Change plan" section, with a Monthly / Annual toggle and three plan cards (Starter, Growth, Scale).

Further down the page:

  • Billing details. Edit invoice fields: legal name, VAT, registration code, address, invoice notes. These are account wide and appear on every invoice across every client.
  • Invoices. Paginated list of invoices for this specific client. PDFs available on each one.
  • Auto Reload. Toggle for an automatic small top up when the balance gets too low to submit.
  • Manual reload. On demand top up packs in a few sizes.

Changing Plan or Cadence

  1. In the plan management section, choose the cadence you want with the Monthly / Annual toggle.
  2. Click the action button on the plan card you want to move to (Upgrade, Downgrade, Switch to Annual, or Switch to Monthly).
  3. Confirm. Stripe charges your existing card on file and the change applies immediately for upgrades and cadence switches to annual. Downgrades and switches to monthly apply at the end of the current cycle.

If the saved card fails (decline, 3D Secure challenge, expired), the app falls back to Stripe Checkout in the same flow so you can enter a different card.

Updating the Card on File

Two practical ways to update your card:

  1. Initiate any plan change (or cadence switch). If the saved card declines, Stripe Checkout opens to let you enter a new card. The new card becomes your default for future charges across all clients.
  2. Buy a manual top up pack from the per client settings page. Stripe Elements opens for the charge. If you complete it with a new card, that card becomes the new default.

The Billing details section on the same page also has a number of editable fields you may need to update (legal name, VAT, registration code, address, invoice notes). Edit those directly inline and save.

If neither path covers your situation, message your account manager and they can help.

The Agency Billing View

If you own two or more clients, the Billing link in the sidebar opens an aggregate table. For each client you see:

  • Plan name and cadence.
  • Live token balance.
  • Next renewal date.
  • A deep link into that client's settings.

The page also shows an annual savings summary: the dollar amount per year you could still save by moving currently monthly clients to annual, and the dollar amount you are already saving on clients already on annual. Cancellation pending subscriptions are excluded from both numbers.

Cancelling a Subscription

The cancel button lives at the bottom of the per client settings page. Cancelling opens a three step retention modal (survey, summary of what you would lose, downsell offer). Cancellation applies at the end of the current billing cycle so you keep access until then.

For a full walkthrough of cancellation, including what happens to delivered videos and to the client itself, see the account management section of the help center. For details on switching cadence, see Annual vs. Monthly Billing. For details on changing tier, see Upgrading Your Plan.
