Two Logs, Two Places

Billing history splits into two logs:

  1. Invoices. What you have been charged. PDFs available for accounting and expense reporting. Lives on the per client settings page.
  2. Credit transactions. Every credit movement (submission, refund, plan allocation, top up, auto reload, mid cycle proration). Lives on the per client credits page.

Both are scoped to a specific client. There is no single agency wide log that mixes invoices and credits across every client.

Finding Invoices

  1. Open the client. From the dashboard, click the client card. Or use the Clients page in the sidebar.
  2. Open the client's settings page.
  3. Scroll past the plan management section and the billing details to the Invoices section.

Invoices are listed newest first. Each row shows the date, the charged amount, the plan or product, and the payment status. The list is paginated. The page loads the most recent invoices first, and a Next button pulls older ones.

The Invoices section only appears once the client has an active subscription. If the client has no subscription yet, the section is hidden.

Downloading Invoice PDFs

Each invoice row has a Download link. Clicking it streams a PDF copy from Stripe.

Every PDF contains:

  • Date and invoice number.
  • Charge amount and currency.
  • Plan or product line items.
  • The payment method used (card type, last four digits).
  • Your account info as it sits in Stripe at the time the invoice was finalized: legal name, address, VAT number, registration code, and any invoice notes you have configured.

The formatting follows Stripe's standard invoice layout. Documents are ready for accounting workflows without extra formatting.

PDFs are available for every invoice in your history, not just the most recent. Download anything from a previous cycle at any time.

Keeping Invoice Info Current

The legal name, VAT, registration code, address, and notes that appear on invoices come from your account level Billing Profile. Edit them in the Billing details section of any client's settings page. Changes save once you click the save button.

Changes only affect invoices created after the save. Stripe locks the legal info onto every invoice the moment it is finalized, so older invoices keep the snapshot that was in place when they were issued. This means an invoice from three months ago will not reflect a change you make today. Plan ahead if you are about to switch business entities or change a registration number.

Credit Transaction History

The credit transaction log is a separate page on each client. Open it from:

  • The "View credit activity →" link inside the plan management section of the client's settings page.
  • Or browse directly to /dashboard/clients/<client>/credits.

Each entry records:

  • The action type (submission, submission refund, plan allocation, mid cycle proration, manual top up, auto reload).
  • The token amount, signed (negative for deductions, positive for additions).
  • The timestamp.
  • For submission entries, a link to the related creative.

The page paginates 25 entries at a time, newest first. Use it to confirm a submission cost, trace where the balance went during a heavy production week, or verify that a refund hit after delivery.

Common Questions

Where do I see the total spend across every client? There is no single aggregate report yet. If you need an account wide spend rollup, download the per client invoices and total them outside the app. The agency Billing page (visible when you have two or more clients) shows live token balances and renewal dates, but not historical totals.

Why do credits and invoices live in different places? Invoices are about money charged. Credits are about tokens spent. The two move on different rhythms (an invoice fires once per cycle, credits move on every submit) and most questions about either one are scoped to a single client.
